Whitehorse Public Library meeting room policy

Whitehorse Public Library Meeting Room(s) and study spaces are available for FREE to all community groups and governments during library hours, when not in use by the library. Library programs, activities and meetings take priority over all other bookings. The library may cancel or change bookings, if necessary, with advance notice and alternative arrangements if possible. The Director of Public Libraries can amend or waive the following rules as needed. 

Booking 

  • Bookings are available on a first-come, first-served basis. 
  • Requests for space can be made on the library’s website and are subject to approval. Bookings are confirmed by email. 
  • Meeting room bookings can be made up to 2 months in advance, with a maximum of 2 bookings per month, per group. 
  • Individuals may book the meeting room or study pods up to 24 hours in advance. 

Changes and Cancellations 

  • Groups must inform the library if they are running late or need to cancel. Updates can be made through the website.  
  • No-shows within 15 minutes of the start time may lead to booking cancellation and future booking restrictions. 

Conditions of use

  • The room cannot be used for business or commercial purposes. 
  • Groups cannot charge admission or sell products. 
  • Tables and chairs can be rearranged if they don’t block exits. 
  • The room must be left clean and in its original setting. 
  • Groups must abide by the library’s code of conduct. 
  • Food and drink are allowed. Groups are responsible for packing out excess garbage or recycling that cannot be disposed of in the room’s containers. 
  • Adhere to maximum room capacity. 
  • Follow library emergency procedures by reviewing the evacuation signage. 

Amenities

  • Groups are responsible for the proper use of equipment. 
  • Assistance with equipment is available as staffing permits. 

Conduct

  • Non-compliance with this policy may result in future booking restrictions. 
  • Any damage to library property is the group's responsibility.
